To add a new user/clerk in Aria:
- Navigate to the HR module.
2. The HR Overview screen will open. Click the New button from the bottom navigation bar.
3. The Clerk Detail screen will open. Several fields must be completed to create the new user record – refer to the table, below, for details. Once these fields have been completed, click the Save icon from the bottom navigation bar to save the user record.

Employee Information | Clerk Code | Enter a clerk code for the user – they will use this to log in to Aria. The code should follow the convention established by your organization (e.g. 3 digits, clerk’s initials, assigned clerk number, etc.). |
Last Name | Enter the user’s last name. | |
First Name | Enter the user’s first name. | |
ACL Master | If selected, this checkbox gives the user permission to add/edit/delete other users – this permission is generally limited to Managers, Supervisors, etc. | |
Login Information | Disabled (Login) | If selected, this checkbox will prevent the user from logging in to Aria. NOTE: If a user enters an incorrect password 5 times, this checkbox will automatically be enabled, and the user will not be able to log in. See User Password Resets for further details. |
Template Information Mode | As a best practice, Maplewave recommends all new users are set up via a Permissions Template. Templates apply the same permissions to all users set up with that Template. Multiple Templates can exist, allowing for differentiation in permissions across groups of employees (e.g. Managers, Supervisors, Clerks, etc.). Rather than changing permissions individually for each user, updating permissions on a Template ensures that the changes are applied to all users set up with that Template, making permission changes a quick & easy process. Use the following fields to apply a Permissions Template to a user: Mode: Use this dropdown to specify if the new user will inherit permissions from a Template. There are 3 options:
ID: If Y- Has Template is selected for the Mode (see above), select the applicable Permissions Template from this dropdown. | |
Password Information | Password Reset | Enter a password for the new user – they will use this to log in to Aria. NOTE: The password that is entered is classified as a temporary password – the user will be forced to change it upon their next login. |
Force Password Updating | Check this checkbox to force the user to update their password on a regular basis – this checkbox is used in conjunction with the Password Expiry (Days) field – see below. NOTE: Maplewave recommends using this checkbox for security reasons. | |
Password Expiry (Days) | If the Force Password Updating checkbox is enabled (see above), use this field to specify the number of days before the password will expire. |
