When an RMA (Returned Merchandise Authorization) is processed, it is finalized in the Inventory module.  This may involve receiving a replacement item, receiving an alternate item or receiving credit for the item.

To complete the RMA process:

  1. From the Inventory module, select the Purchase Orders button from the top navigation bar.




      2. The PO Overview screen will open.  Click the RMA button from the bottom navigation bar. 




      3. The RMA Items screen will open.  This screen lists items that have been removed from inventory using the RMA process, along with various info for each RMA, including:

  • M:  The PO mode (C: Moved on credit vs. N:  Normal item to replace RMA item).
  • L:   The status of the item (N:  RMA is outstanding vs. U: RMA has been updated). 
  • Qty:  The number of items on the RMA. 
  • Done:  The number of items received on the RMA.

      4. Right-click the RMA item and select one of the following options:  

  • Receive Replacement:  Select this option if you received a replacement for the item (e.g. it is the same model but has a different serial).  You will be prompted to scan/enter the serial of the new item – do so in the field provided, then click OK.

  • Receive Alternative:  Select this option if you received an item that was different from the original (e.g. a different color, size, brand, etc.).  You will be prompted to search for the alternate item, then scan/enter the item’s serial.  

  • Receive Alternative:  Select this option if you received an item with a different model that has a new serial number.

  • Receive Credit:  Select this option to close the RMA without adding any replacement items.  This method is only for store inventory and no corresponding entry will be made in the GL – you may need to manually make an adjustment to the appropriate GL account.

  • Undo RMA:  Select to reverse the RMA and put the inventory back to its original location.  If selected, the RMA Item will disappear from the RMA Items screen.  




      5. The “Done” column on the RMA Items screen will update in accordance and the RMA will complete.
